Certificates arrive

Your contractors send to a CertCadence address, or you forward what lands in your inbox. Gas records, EICRs, EPCs, alarm checks, HMO licences, fire risk assessments. PDFs, scans, photographs taken in a dark hallway.

We read and file them

Property, certificate type, issue date, expiry, engineer and licence number, all pulled off the document and matched to the right unit in your portfolio. If anything is unclear it goes to a review queue rather than into your register as a guess.

We chase the renewal

Sixty days out, then thirty, fourteen and seven. Contractor first, landlord next, you only if it is still not booked. Every message logged, so when someone asks what you did about it, there is an answer.

Founding agencies. We are new and we would rather earn the first ten clients than pretend we already have a hundred. The first ten agencies in Bristol and Bath get the setup fee waived and the monthly rate held for two years. In return we would like a straight answer about what is working and what is not.

CertCadence exists because compliance tracking in most independent agencies is a spreadsheet and somebody's memory, and the law stopped being forgiving about that in May. If you want to talk it through, you will be talking to me, not a sales team.

Questions we get asked.

Do we have to change our CRM?

No. CertCadence runs alongside whatever you use. We import your property list once as a CSV export and after that nothing about your existing setup changes. We deliberately do not build anything your CRM already does well.

What happens if a certificate cannot be read properly?

It goes into a review queue with the reason and our best guesses, and a person confirms it. A compliance register that quietly guesses an expiry date is worse than no register at all, so we would rather ask. In practice this is a handful of documents a month.

Who is responsible if something is missed?

You are. The responsible person under the regulations cannot be delegated to a supplier, and anyone telling you otherwise is selling you something that does not exist. What we give you is a system that makes missing something much harder, and a documented trail of what was chased and when.

Which certificates do you track?

Gas safety records, EICRs, EPCs, smoke and carbon monoxide alarm checks, HMO licences and fire risk assessments. We only count what is genuinely legally required for that property, so a flat with no gas supply is not marked down for having no gas certificate.

Where does our data sit?

In a UK region database. We hold your property list and your certificates. We do not hold tenant personal data, we do not need access to your bank or client account, and you can have a full export at any time.

How long does setup take?

About an afternoon of ours and roughly thirty minutes of yours. You send a property export and point an email alias at us. The backfill of your existing certificates is included in the setup fee.
